Job Summary:

As our Project Coordinator, you'll play a pivotal role in improving and setting up systems, managing internal and client communications, overseeing feedback and quality control, preparing proposals, contributing to marketing efforts, and managing facilitators. This role requires someone who is exceptionally organized, detail-oriented, and proactive in suggesting and implementing improvements. It’s perfect for someone who thrives in changing environments and enjoys a variety of tasks, offering an opportunity to make a significant impact.

Key Responsibilities:

Systems Improvement/Setup: Use Airtable to simplify operations, enhance the learner and team experience, and ensure facilitator access to up-to-date information
Meetings and Communications: Ensure all logistics, including dates, times, Zoom links, and materials, are accurately organized and communicated to both teams and clients
Feedback and Quality Control: Collect and summarize team feedback on content delivery, implement updates, and manage quality control processes to identify opportunities and address risks promptly
Proposal Preparation and Marketing: Assist in preparing proposals and contributing to marketing initiatives to promote our services
Facilitator Management: Help to manage a team of facilitators, ensuring they have the necessary resources and information to deliver exceptional sessions

Required Qualifications:

Experience in operations or project management, with a focus on systems improvement and detail orientation
Strong organizational skills and exceptional attention to detail
Excellent communication skills, with a knack for diplomacy in client interactions
Proficiency in project management tools like Airtable
Reliability and responsiveness (very important qualities in this position)
Adaptability in an ever-changing, imperfect business environment
Proactive and takes initiative to improve processes under a high trust, hands-off management style
Assertiveness to seek help or flag issues when necessary
Commitment to long-term engagement, with honesty, reliability, and loyalty
